ICA 2014 Exhibitor opportunities are available to firms that are Sponsors of ICA 2014.
ICA 2014 does not have a separate participation category for firms to be Exhibitors only. If your firm is interested in having a presence in our Exhibit Hall ("Town Square") at ICA 2014, please consider becoming a sponsor. More details are available in the Sponsorship Prospectus.
Guidelines and Procedures for registering your Exhibit Booth personnel
There is a special registration process for registering Exhibit Booth personnel. Please read the information below before proceeding to that special registration process.
Complimentary Exhibitor Registrations
Each ICA 2014 Exhibitor (including Sponsors that are exhibiting) is entitled to two (2) complimentary exhibitor registrations. An Exhibitor that has chosen to purchase a double booth is not entitled to any additional complimentary exhibitor registrations related to the second booth.
An "exhibitor registration" is a special badge that allows full access to the ICA 2014 "Town Square" exhibit hall (which includes access to breakfast and breaks each day, and lunch on Monday and Wednesday) but does not provide access to any of the continuing education sessions. A person with an exhibitor registration badge may attend the opening ceremony on Monday morning and the closing ceremony mid-day Friday, as well as the "welcome to Washington" orientation.
The complimentary exhibitor registrations are valid for the full week of ICA 2014 (and of course during booth setup and teardown times, to be announced).
At the time of registration, an Exhibitor many select to replace one full week exhibitor badge with two half-week exhibitor badges at no cost. (Or, you may replace two full-week exhibitor badges with four half-week exhibitor badges at no cost). The half-week badges can be selected for either half of the ICA week. This selection occurs at the time of registration.
The above descriptions of complimentary exhibitor registrations also apply to the several organizations (IAA, ICA 2018, and The Actuarial Foundation) whose exhibit booths are entirely complimentary.
Complimentary exhibitor badge holders who wish to attend one or more of the ICA 2014 social events (the welcome reception, the gala dinner, the Tuesday and Thursday afternoon tours, or the optional tours throughout the week) may do so at additional cost, by purchasing tickets for these events at the "a la carte" ticket prices.
Paid Exhibitor Registrations
Exhibitors (including Sponsors that are exhibiting) may purchase additional exhibitor registration badges, in addition to the complimentary exhibitor registrations described above. For example, an exhibitor may be planning more than two marketing or administrative personnel who will be assisting at the booth but not attending education sessions.
The access privileges associated with a paid exhibitor badge are the same as the access privileges associated with a complimentary exhibitor badge, described above.
The fees for a paid exhibitor registration are:
$600 for a full-week exhibitor badge
$300 for a half-week exhibitor badge (specify which half week during the registration process)
Paid exhibitor badge holders who wish to attend one or more of the ICA 2014 social events (the welcome reception, the gala dinner, the Tuesday and Thursday afternoon tours, or the optional tours throughout the week) may do so at additional cost, by purchasing tickets for these events at the "a la carte" ticket prices.
Registered Accompanying Persons
Individuals who are registered (and paid) as Accompanying Persons at ICA 2014 have access to the Exhibit Hall. A full-week Accompanying Person has full access to the exhibit hall, and also is entitled to attend the Tuesday/Thursday afternoon tours as well as the welcome reception and gala dinner. A half-week Accompanying Person is entitled to attend the events during the selected half week.
Therefore, registered Accompanying Persons may serve as staff in your Exhibitor booth during the portion (full-week or half-week) of ICA 2014 for which the Accompanying Person is registered. If your exhibit booth staff will be attending several of the social events, the Accompanying Person registration may be a more economical way to register them, rather than purchasing a paid exhibitor badge plus a la carte social events.
